A web app is an interactive website; in fact, it’s a software that’s running on the web. While we do offer corporate website design and online store development, our core expertise lies in custom-built web applications to answer the specific needs of any kind of business – usually SMEs, NGOs or startups – that needs to digitalise their business processes and workflows.

We do not assume that every requirement should be custom-built. We first study the business workflow and compare an off-the-shelf product, configuration of an existing platform, third-party integration and custom development. Often the right architecture is hybrid: custom software for the workflows that differentiate the business, connected to established services for specialist capabilities.

AI-assisted development has reduced the effort required to build focused software, so abandoning an ill-fitting SaaS product can now make sense in more situations. That is particularly true when recurring per-user fees become disproportionate, workarounds dominate daily operations, data access is constrained or the workflow itself creates competitive advantage. The decision still has to account for the full lifecycle cost of security, hosting, maintenance and future change.

Start With the Smallest Useful Release

We separate a product into independently useful stages wherever the architecture allows it. A first engagement might deliver the public website, a narrow client portal and one essential read-only integration rather than rebuilding a CRM, accounting system and operational platform at once. Each later phase should answer a demonstrated need and have its own scope, assumptions and acceptance criteria.

This approach is not about producing an incomplete prototype. The first release must provide one coherent workflow in production, while deliberately postponing secondary dashboards, write-back automation, mobile apps, advanced reporting and other features that have not yet justified their cost.

Integrations Are Assessed Before They Are Estimated

“Connect to our existing system” can represent a simple documented API call or a major part of the project. Before committing to an estimate, we review the provider’s documentation, authentication, data coverage, write capabilities, webhooks, limits, fees and test environment. We then define the source of truth, synchronisation direction, retry and reconciliation behaviour, monitoring and the user experience when the external service is unavailable.

If no reliable API exists, we make that constraint visible. Depending on the business need, the sensible answer may be a supported file import, a manual approval step, a narrower integration or no integration at all—not a fragile workaround presented as automation.

Security and Resilience Follow the Product’s Risk

A public content website, an internal workflow tool and a multi-tenant client portal require different controls. During discovery and architecture, we consider authentication and optional MFA, tenant and role-based access, sensitive-data handling, audit events, encryption and secrets, dependency risk, backups and recovery, logging, deployment controls, vulnerability remediation, incident responsibilities and any data-residency constraints.

The proposal identifies which controls are included and who is responsible for hosting and ongoing operation. Security is treated as part of product design and lifecycle care rather than a generic checklist applied identically to every application.

Generally, web applications consist of a front-end public website which users get information from, screens that require users to register and authenticate and a back-end admin panel requiring administrator authentication. Sometimes, additional admin panels need to be created for different user profiles, for example, for affiliates, sales, suppliers, or managers.

Frequently asked questions

Do you always recommend building custom software?

No. We study the workflow, available products, integration options, compliance needs, ownership requirements and total cost before recommending whether to buy, configure, integrate or build. Custom development is justified when the workflow is strategically important or unusually specific and the long-term benefits outweigh the cost of owning software. Mature specialist functions such as accounting, payroll, tax and electronic invoicing, payment processing, electronic signatures and identity verification usually remain with established third-party providers and are integrated into the application.

Can the website, portal and integrations be delivered in phases?

Yes. We identify the smallest release that provides a complete useful workflow, then separate later modules and integrations. A marketing website, authenticated portal and external-system connections can be scoped independently when that reduces cost and risk. Early integrations may be read-only when write-back is not yet necessary.

What do you review before estimating a third-party integration?

We review the provider's API documentation, authentication, available data and actions, webhooks or polling options, rate limits, fees, test environment and expected failure behaviour. We also define data ownership, source of truth, synchronisation direction, retries, reconciliation and what users should see when the external service is unavailable.

How is security scoped for a custom web application?

Security is matched to the product's users, data, risk and compliance context. The plan can cover authentication and MFA, tenant and role permissions, audit events, encryption and secrets, dependency checks, backups and recovery, logging, deployment controls, vulnerability remediation and incident responsibilities. The exact controls and any data-residency requirements are agreed before implementation.

How do you design data isolation in a multi-tenant SaaS product?

We define the tenant boundary before implementation, then apply it consistently to authentication, authorization, database queries, files, configuration, logging and operational tooling. The exact isolation model depends on the product's risk, scale and compliance requirements.

What is included in web application quality assurance?

The agreed plan can include code review, automated tests, functional and integration testing, responsive checks, performance review and security-focused checks. Coverage is prioritised around business-critical workflows and project risk.

Can the client take over the application after delivery?

Yes. After full payment, the client owns the project-specific source code, database schema, migration files, configuration, designs and other transferable deliverables identified in the agreement, and may appoint another team to maintain them. Outsourcify retains its pre-existing materials and generic or reusable components, with a perpetual royalty-free licence for any such component incorporated into the delivered product. Open-source and third-party software remain under their respective licences. The agreed handover package may include repositories, an environment template, build and deployment instructions, design assets, decision records, documentation and access.

Build, Buy or Integrate? We Study the Case First

Custom development is one option, not our automatic answer. During discovery we compare four practical routes: use an off-the-shelf SaaS product, configure an established platform, integrate specialist third-party services, or build the relevant workflow ourselves. The recommendation depends on functional fit, integration and data constraints, compliance, expected scale, vendor dependency, recurring licence costs, maintainability and the strategic value of the workflow.

AI-assisted coding is making focused custom software faster and more economical to create. This means there are more cases where replacing a poorly fitting SaaS subscription with software built around the exact workflow is sensible—especially when teams pay for many seats, rely on manual workarounds, cannot access their data cleanly or need the workflow to become a competitive advantage. It is still not a rule. Custom software carries design, security, hosting, maintenance and evolution responsibilities that must be included in the decision.

We normally keep mature, regulated or commodity capabilities with specialist providers and integrate them. Good examples include accounting ledgers, payroll, tax and electronic invoicing, payment processing, electronic signatures, identity verification, transactional email and SMS. Rebuilding these functions rarely creates business advantage and can introduce avoidable compliance and operational risk.
