Plani Travel grew from the operational CRM originally built for the Secrets of Siam destination agency into an independent, multi-tenant SaaS for DMCs and local inbound agencies. It now supports the complete life of a tailor-made trip: inquiry, sales file, competing proposals, client approval, supplier booking, payments, travel diary and on-trip follow-up. This is a separate product case study; the original Secrets of Siam website and bespoke CRM remain documented as their own project.

Challenge
Tailor-made travel is difficult to run with generic CRM software. A quote is a dated and priced program assembled from contracted hotel rooms, seasonal activities, transfers and destination advice. Several proposals may compete for one client, suppliers still confirm through email, client and supplier money follow different cycles, and the final guest experience must carry the agency's identity rather than the software vendor's. Plani also had to turn the workflows learned in one agency into a configurable product that keeps each DMC's users, catalog, currencies, branding and data isolated.
Solution
Outsourcify developed three connected applications: a Nuxt and Vue back-office for agency teams, a Symfony and API Platform business layer, and a separate white-label itinerary experience for travelers and suppliers. Explicit state machines move inquiries, travel plans, itineraries, bookings and payments through the real DMC lifecycle, while scheduled jobs handle expirations, reminders, trip transitions and currency updates. Agency-scoped multi-tenancy, roles, feature flags, subscription plans and configurable branding make the operational model reusable without flattening the specialist travel rules that give it value.

Role-specific operations, not a generic dashboard
Sales, itinerary production, logistics, client accounting, supplier accounting and customer care each see the work that belongs to them. An inquiry becomes a structured travel plan with dates, party, budget and source; the plan then moves through discovery, discussion, itinerary creation, proposal and conquest or loss. Managers retain a cross-team view, while agency permissions and feature flags keep each workspace appropriate to its organization.
One sales file, several competing proposals
A travel plan represents one client request, but it can contain several itinerary options. Each proposal has its own dates, travelers, content, cost and validity window. Once the client approves one itinerary, the alternatives are discarded automatically and the winning file moves from sales into hotel booking and production. This workflow models how a DMC actually sells tailor-made travel rather than forcing the process into a conventional deal pipeline.
A day-by-day itinerary built from contracted products
Itinerary creators assemble hotels, activities, transfers, free advice, highlights, media and files into a dated program. Prices come from the agency's live catalog: hotel contracts contain rooms, seasons and options, while activities and transfers carry seasonal rates. Early- bird rules, stop-sales, manual overrides, agency margin and currency security margins are applied before the proposal reaches the traveler. Reusable tour templates can seed a new custom trip without turning it into a rigid package.
A white-label proposal that becomes the travel diary
Travelers open a private link carrying their agency's logo, colors and legal identity. They can explore the daily program, maps, meals, accommodation and activities, download a PDF, comment on the proposal or approve it with the applicable terms. After approval, the same trip becomes a practical travel diary with traveler information, attachments and vouchers—without rebuilding the content in another system.
Supplier bookings designed around email reality
Approval creates the reservations and purchase orders needed to operate the trip. Hotels are secured first, followed by activities, transfers and time-sensitive online bookings. A supplier receives a branded email and confirms, declines or proposes an alternative from a public link—no supplier account or shared portal is required. Reminder links support reconfirmation close to arrival, while the logistics team follows every item through explicit operational statuses.
Client revenue and supplier costs in one trip record
Plani coordinates two different financial cycles. On the client side, it follows deposit and balance due dates, completed and late payments, adjustments and PDF invoices. On the supplier side, confirmed bookings become purchase orders, entered invoices, payment campaigns, paid invoices and reconciliation records. Multi-currency rates and security margins keep the commercial view connected to the operational cost of every itinerary.
From one agency workflow to a configurable SaaS
Each agency has an isolated catalog, customers, users, currencies, branding and operational parameters. Plans can limit seats, suppliers, itineraries and services; modules such as inquiries, logistics and the two accounting areas can be enabled per tenant. Self-service registration, Stripe subscriptions, extra seats, onboarding options, demo data and a platform administration layer complete the transition from bespoke application to reusable industry product.
